Cancelling a camp place
Cancellations must be reported to the office as soon as possible via email (kurunleirit@gmail.com). Simply not paying the camp fee or not showing up at the camp does not count as a cancellation. A camp place that is not cancelled will still be invoiced, even if the child does not attend. Unpaid invoices will be forwarded at the end of the season to the collection agency SVEA.
- Cancelling a camp place is free of charge up to one month before the start of the camp. In this case, any camp fee already paid will be fully refunded.
- After the free cancellation period, a €15 cancellation fee per camp invoice will be charged to cover administrative costs.
- A camp place must be cancelled at least two weeks (14 days) before the start of the camp. After this deadline, the camp fee will be charged even if the camp is cancelled. The only exception is sudden illness (a doctor’s certificate is required), in which case the camp fee will be fully refunded, excluding the €15 administrative fee per camp invoice.
Changing or Cancelling Camp Transportation
Changes to or cancellations of camp transportation can be made by contacting us via email at kurunleirit@gmail.com. Simply not paying the transportation fee or not showing up for the transport does not count as a cancellation. A transportation spot that is not cancelled will still be invoiced, even if the camper does not use the transport. Unpaid invoices will be forwarded at the end of the season to the collection agency SVEA.
- Cancelling camp transportation is free of charge up to two weeks (14 days) before the start of the camp. If you have already paid for the transportation when cancelling, the full amount will be refunded. If the camp invoice has not yet been paid, the office will issue a new invoice without the transportation fee, and the old invoice will be nullified.
- If there are less than two weeks (14 days) before the start of the camp, the full transportation fee will be charged, even if the camp transportation is cancelled or any of its details are changed.
- Camp transportation will be automatically cancelled if the camper’s entire camp participation is cancelled.
Camp Cancellation or Early Departure
Camper’s Illness or Injury at Camp
- All campers and our staff are insured. In the event of illness or injury, we will contact the guardian.
- Minor and simple health issues can be treated at the camp (e.g., a small cut, mild ankle sprain, etc.). If needed, the camper can be moved indoors to rest from the outdoor housing. In more serious cases, we can make arrangements with the guardian for the child to be taken to a health center or emergency care. In most cases, the cost of emergency care is covered by insurance, but in some cases, the transportation cost may be charged to the guardian.
- If a camper becomes seriously ill, is injured, or contracts a contagious illness (fever, vomiting, etc.), they will need to be sent home. Just like at school, daycare, or other activities, campers cannot attend while sick. There are three reasons for this: 1. it is more comfortable for the camper to recover at home in a familiar environment. 2. Although it is unfortunate for the camper to miss camp, it is important to prevent the illness from spreading to other campers and counselors. 3. There is a limited number of counselors at camp, and we do not have the resources to assign one counselor continuously to assist a single child.
- In more serious cases of illness or injury, the guardian must arrange transportation for the camper home from the camp within 24 hours. Compensation for the interrupted camp can primarily be requested from your own insurance company.
Removal from camp
- At camp, we do everything we can to ensure campers’ enjoyment, well-being, and safety. However, there are times when our efforts to talk, negotiate rules, and mediate conflicts are not enough. For example, if a camper seriously or repeatedly breaks camp rules, they may be sent home before the end of the camp. Serious rule violations include, for instance, bringing alcohol or other substances/items related to it, or other prohibited items, to camp, repeated violent behavior, or leaving the camp area without permission.
- If a camper is found in possession of prohibited items/substances, repeatedly breaks rules, or commits a serious rule violation, the camp fee will not be refunded. Removal from camp will be discussed with the guardian, but the final decision to terminate the camper’s participation rests with the camp management. If the camp is terminated, the guardian must arrange transportation for the camper home from the camp within 24 hours.
- Prohibited items and substances at camp include: Explosives (e.g., fireworks), Alcohol (including empty containers), Nicotine products (including used and/or empty containers), Drugs and drug-related paraphernalia (including used and/or empty containers), Bladed weapons (e.g., knives, pocket knives), Fire-starting equipment
